Widener University is seeking an Academic Secretary to provide a variety of clerical and administrative duties in support of the of Civil and Electrical Engineering Departments in the School of Engineering.

DUTIES AND RESPONSIBILITIES (include but not limited to)

Essential Duties:

  • Contribute to a welcoming environment for all visitors and prospective students.
  • Provide support to the office; greet, screen and direct callers to appropriate staff and faculty members when needed.
  • Maintenance of all student records, files and related activity (registration, academic review, degree audit, etc.)
  • Scheduling various reservations, meetings, and committees. 
  • Assist faculty and students with course-related needs. This includes: being sure they have the correct equipment and room access; university forms; knowledge of procedures. 
  • Demonstrated ability to work collaboratively with colleagues and across university.
  • Coordinate and participate in Pride Experience sessions.
  • Assist with faculty searches as instructed.
  • Assist with curriculum-related activities such as: lab manuals and course materials, student course evaluations, assessment data, book orders, rosters, syllabus and exam preparation, grade reports and academic review processes.
  • Assist in the coordination and execution of special events/recruitment and outreach (Widener Days, Camps, Competitions, Workshops, Senior Projects) as needed. 
  • Primary interface for all student club meetings and event coordination.
  • Monitor departmental budget expenditures and related functions such as journal entries, forms, invoices, and expense accounts; reconcile discrepancies and communicate with Department Chairman and/or Dean’s Office on issues.
  • Maintain inventory of supplies, records of telephone and copier, and postage usage. 
  • Assist in the supervision of work-study students that support the program.
  • Support Dean’s Office initiatives.

Secondary Responsibilities:

  • Interacts with various university departments for daily operations.
  • Performs other job-related duties as assigned or directed.

MINIMUM QUALIFICATIONS: (Education/Training and Experience Required):

  • High School diploma or equivalency
  • A minimum of three years secretarial experience in a service oriented environment or any combination of experience, training or education, which provides the necessary skills, ability and knowledge.
  • Proficient in Microsoft Office Suite 
  • Ability to multi-task
  • Demonstrated knowledge working with database software  
  • Excellent verbal and written communication skills
  • Proven track record of customer service orientation and people skills
  • Superior interpersonal skills and oral and written communication skills.


  • Associate’s degree 
  • Experience with Database management; Microsoft Access and Powerpoint
  • Three to five years secretarial experience
  • Experience in Outlook Calendar

Physical Requirements and/or Unusual Work Hours:

  • Must be able to routinely sit at desk or table and work on computer for long periods of time (2+ hours), have basic manual dexterity, lift less than 25 lbs., and be mobile between workstation and numerous campus buildings.  Involves routine standing, walking, and climbing stairs and occasional bending, stooping and/or kneeling.
