Widener University is seeking an Assistant Director of Residence Life Operations who supports the overall operation of the department and is responsible for the oversight and management of Residence Life housing systems, occupancy management, and other complex administrative functions related to housing.  Reporting to the Director of Residence Life, this role is responsible for overseeing the upkeep and maintenance of the residence halls, managing and keeping inventory of all room keys and collaborating with the locksmith and the Campus One Card Office in establishing an efficient key/access management system. The Assistant Director of Residence Life Operations oversees all aspects of occupancy management including:  approving room changes, maintaining occupancy records/numbers, managing all aspects of the housing selection/placement process, coordinating openings and closings of residence halls year round and establishing healthy lines of communication between professional and paraprofessional staff as well as the appropriate administrative offices on occupancy.  In addition, this role performs other duties as assigned that are relevant to the mission and goals of the department.

DUTIES AND RESPONSIBILITIES:  (include but are not limited to)

Essential Duties:

OCCUPANCY COORDINATION / FACILITIES MANAGEMENT

      • Provides day to day response to room changes, vacancies and reassignments of rooms for a 1700 bed facility.
      • Utilizes Colleague & StarRez software for housing assignments, resident check-in and check-out, summer conference assignments, billing and facility information.
      • Coordinates the housing assignments and selection process for new and returning students as well as updates and distributes Housing selection documentation.
      • Responsible for overall management, operation, and use of Colleague & StarRez including set-up of the systems, access levels, data management, query writing and reporting.
      • Train all Residence Life staff and appropriate campus partners on the use of Colleague & StarRez to enable effective utilization of the system, access to information, and response to questions. Create manuals/instructional guidelines/on-line tutorials for all levels of users.
      • Creating effective reports within Colleague & StarRez, or in conjunction with ITS & Enrollment Services  for planning and projections is an area of emphasis.
      • Develop and manage relationships with Operations, Maintenance, Housekeeping, Admissions, Bursar, Registrar, ITS, Institutional Research, Budget Office, Accounts Payable, StarRez, and others constituents on and off-campus.
      • Opens and closes buildings (at the beginning and end of semesters as well as during break periods) in a well-coordinated fashion and staff them effectively. 
      • Assists with the placement of Living / Learning Communities as well as themed housing communities and maintains accurate lists of participants.
      • Assists in the scheduling of summer conference groups hosted by the Residence Life Office. This includes distribution of keys/access cards, reviews and revises publications and documentation for all summer conference housing.  This will occur in collaboration with Area Coordinators and other residence life professionals.                             

ADMINISTRATIVE & RESIDENTIAL EDUCATION

      • Consistently serve as an advocate for diversity and cross-cultural understanding to create a welcoming campus to all students. Support division's strategic diversity initiatives. 
      • Reviews and updates all written materials related to the housing assignment process and policies on an annual basis and as needed.
      • Prepares annual reports for the  Director for Residence Life utilizing staff input and Colleague/StarRez data; focusing on special developments, routine events, staff and resident needs, conference services and areas in need of attention.           
      • Coordinates inspections and scheduled fire drills with the Fire Marshall/Life Safety &Compliance Officer.  Works closely with Fire Marshall/Life Safety &Compliance Officer to maintain facility-related safety standards.
      • Participates in Office of Residence Life staff meetings and other meetings as assigned.
      • Supports summer programs such as the Pride Experience and Orientation.
      • Participates in and represents the Office of Residence Life on campus wide committees and Admissions Open Houses, Accepted Students Day, Summer Registration and New Student Orientations.

PROFESSIONAL DEVELOPMENT

      • Maintains current working knowledge in the field of student personnel and/or higher education administration.  It is the expectation of the Office of Residence Life that the Assistant Director of Residence Life Operations will grow professionally and develop contacts beyond the residential program at Widener University. 
      • Works with other campus professionals on matters concerning student development.
      • Demonstrates initiative, dependability, and a positive attitude.
      • Involvement/exposure to other Student Affairs and Student Life programs on campus are strongly encouraged.

 Secondary Responsibilities:

  • Demonstrates initiative, dependability, a positive attitude, professionalism, sensitivity, and ethics.
  • With limited supervision of the Assistant Dean for Residence Life and in conjunction with Area Coordinators, the Assistant Director of Residence Life Operations participates in the annual selection of Resident Assistants. This also includes assisting with other professional searches within the Office of Residence Life as needed.
  • Assists the Assistant Dean for Residence Life in the performance of central office duties and procedures as assigned.
  • Participates in residence life projects as needed.
  • Performs additional duties and responsibilities as assigned.

 

MINIMUM QUALIFICATIONS: (Education/Training and Experience Required):

 Required:

  • Bachelor’s degree in Business Administration, Information Management Systems, Higher Education Administration or related field.
  • Minimum of four to six years of experience working in a student service office in a college/university setting.
  • Demonstrated knowledge of computerized database management systems, such as StarRez, and student information databases, such as Colleague.
  • Must have ability to maintain confidential information.
  • Strong administrative skills in addition to excellent time management and strong written and oral communication skills are required.  

 Preferred:

  • Experience in Residence Life 
  • Master’s Degree

  Physical Requirements and/or Unusual Work Hours:

  • This is a 12-month position with campus owned faculty/staff housing. 
  • Ability to move between buildings and floors within the residence halls.
  • Requires some evening and weekend work.
