The HRIS Administrator will report directly to the Associate Vice President for Human Resources and is responsible for the oversight of the university’s Human Resource management system including the internal HR module of the university ERP system, benefits electronic file system, performance management, and other systems that require interface with university data.  The incumbent will serve as a strategic partner for all functional areas of HR. 

DUTIES AND RESPONSIBILITIES (including, but not limited to):

  • Manage the HRIS unit, ensuring effective, accurate and timely data entry and reporting on pay, benefits, and employee data; ensure electronic record-keeping is up-to-date and in line with applicable regulations. Provide guidance to ensure HR department operational needs are met.
  • Provide guidance and oversight to HRMS staff on projects to improve or maintain automated operational solutions such as file imaging, on-line applicant tracking, onboarding systems, self-service, position control, leave reporting, and other projects.
  • Primary point of contact to the payroll department for employee and student payrolls.
  • Foster strong partnerships with all HR units and other university departments, ensuring excellent communication, collaboration and service. Work with university systems to assist with HRMS issues as needed.
  • Evaluate University procedures to streamline and/or automate processes, improve services, reduce paper-flow, and advance human resources data management; implements changes as required.
  • Maintain current knowledge of trends, technology needs, and federal/state regulations, ensuring that HR systems meet current and future university needs. Identify and communicate emerging issues related to operational practices; recommend and lead innovative solutions.
  • Lead HR administrator in preparing for the annual university audit, benefit plan audits, Charter School audit, and non-discrimination testing. Responsible for completing the annual federal IPEDS report as required by the DOE and EEOC.
  • Maintain current knowledge of federal and state regulatory requirements to support the University’s compliance efforts and reporting pertaining to personnel matters.
  • Assist with development and execution of human resources (HR) policies and programs in support of the university’s business operations including compliance initiatives.
  • Responsible for the quarterly compliance report that goes to the Board of Trustees.
  • Evaluate, analyze, administer and maintain Human Resources Information Systems (HRIS)
  • Collaborate with vendors and users to provide problem-solving, system & business analysis and technology driven solutions with a customer service concentration
  • Coordinate the administration of various Human Resource Information Systems including Colleague, PageUp, Informer, Onbase, document imaging, and I-9 processing
  • Serve as main point of contact for data feeds
  • Partner with University IT Services to improve HRIS processes through automation
  • Report HR and Payroll information to university community using various reporting tools
  • Documents and uses standard reports, and creates custom reports
  • Maintain integrity and accuracy of data in Colleague and related HR systems
  • As a member of the HRIS team, completes payroll audits and processing for payment
  • Serve as back up for HR data entry
  • Assist with various HR projects, as needed

QUALIFICATIONS (education/training and experience required):

Required:

  • Bachelor’s Degree or related field
  • 5+ years of progressive experience and deep knowledge in HRIS Systems and Human Resources
  • Experience in report writing software (e.g., Informer)
  • Proficient in the use of information systems, query tools
  • Analytical mindset with an ability to solution multiple alternatives
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Experience with and driven by continuous process improvement and efficiency
  • Excellent analytical, relationship building, problem solving and organizational skills
  • Excellent communication skills
  • Must thrive under pressure and manage multiple projects and priorities simultaneously and in a hands-on manner
  • Detail and process-oriented leader, able to partner with non-technical customers and partners to understand user needs and translate needs into technical requirements

Preferred:

  • HRIS project implementation experience
  • Previous experience with ATS systems
