Widener University Delaware Law School is currently seeking an Administrative Support Specialist who will work as part of the Student Affairs team, reporting to the Associate Dean for Student Academic Affairs. The person in this role will perform various administrative assistant duties as needed in Student Affairs such as filing, processing financial paperwork, helping to oversee student workers, and assisting with event organization. The person in this role will also work with the law school’s honor societies to provide administrative assistance with special programs, competitions, and symposia; arrange for payments related to honor society initiatives; and help to onboard new honor society members.

DUTIES AND RESPONSIBILITIES (including, but not limited to):

Essential Duties:

  • • Assist student honor societies and Student Affairs with special events including but not limited to arranging for rooms, food, and invitations
    • Track honor society budgets
    • Help with onboarding of new honor society members
    • Work with journal publishers to coordinate submission of material and arrange for payment
    • Assist with receptionist duties for the office, serving as a first point of contact for students and others visiting the Office of Student Affairs
    • Type, proof, print, copy & email or mail letters, memos, reports
    • Answer telephones and emails from students, screen and route inquires, accurately and in a professional and friendly manner
    • Assist with hiring of student notetakers for accommodated students
    • Help track submitted class notes and accurately distribute to accommodated students
    • Provide general support duties (correspondence, filing, messaging, etc.)
    • Assist with proofreading, duplication/printing, and dissemination of flyers and documents
    • Prepare payment/check requests for bills and requests for reimbursement
    • Assist Assoc. Dean with inputting P-card expenses; drafting and submitting expense reports
    • Order office supplies and ensure maintenance of office equipment and facilities
    • Process invoice payments, reimbursements, and check requests as needed
    • Additional duties as assigned

MINIMUM QUALIFICATIONS: (Education/Training and Experience Required)

Required:

• Minimum 2 years of secretarial/administrative experience in an office environment supporting senior level staff in a high-volume office
• High school degree or equivalent
• Demonstrated organizational skills, flexibility and adaptability
• Demonstrated ability to multi-task with exceptional attention to detail
• Strong proficiency with Microsoft Office suite especially Outlook, Word, Excel, and PowerPoint
• Aptitude and willingness to learn new technology systems, including but not limited, to student information system and learning management system.
• Enthusiastic, organized self-starter capable of working independently and as a part of team
• Superior verbal and written communication skills, including letters, email, voice-mail, and one-on-one.
• Ability to maintain sensitivity, understanding and respect for a diverse academic environment inclusive of students, faculty and staff of varying social economic, cultural, ideological and ethnic backgrounds.

Preferred:

• Experience in customer service
• Experience in Higher Education or a school office
• Experience working with law students

PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:

• Some evening hours to accommodate evening student schedules (e.g. 2x per month work to 6:15 pm)
• Ability to work at and attend some evening events
• Ability to sit and work at computer for extended period of time
