Widener University Delaware Law School is currently seeking an Events and Continuing Legal Education Coordinator. Reporting to the Associate/Vice Dean of Academic Affairs, the Events and CLE Coordinator provides support to faculty, staff, administration, and students (as necessary) for planning, organizing and executing law school events within budget constraints and managing the Continuing Legal Education (CLEs) professional development programs.

DUTIES AND RESPONSIBILITIES (including, but not limited to):

Essential Duties:

  1. Event Planning Coordination
  • Maintain event files, records and publishing law school event calendar by consulting with faculty, staff, administration, and students (as necessary) to set scheduling priorities.
  • Develop and implement processes to ensure all on campus events are approved, scheduled and placed on law school event calendar; coordinate with Dean’s Office to ensure Dean’s availability, where necessary.
  • Provide weekly notification and periodic reminders to all internal law school constituents,  members of the law school community and the external community of upcoming events; coordinate with web manager to ensure that all events are updated and published on law school website; coordinate with the communications Director and Associate Director of Alumni Engagement to ensure event information is communicated to all audiences.
  • Meet with the event host and speakers to ensure their availability, identify the purpose, goals, needs, and expectations for each event, manage event timelines by arranging all logistical needs, securing permits, licenses, speakers, transportation, registrations, catering, audiovisual equipment, florists, decorations, technology needs, directional signage, parking and staffing needs to achieve best possible price and quality.
  • Restore the area post event for regular business operations; supervising the receiving, storing, issuing, and maintenance of equipment and supplies.
  • Create event budgets and work within the confines of each event budget to maintain and monitor expenses for payment and processing.
  • Promptly address and resolve any issues that arise during the event.
  • Conduct post-event surveys to assess the event’s success and guest experience and perceptions and to identify areas for improvement.
  1. CLE Coordination Essential Duties:
  • Support production of live and virtual CLE programming.
  • Perform all event planning duties for all on-campus CLEs.
  • Manage all aspects of CLE programming including event registration, onsite logistics for program set-up, point of contact for attendees to ensure appropriate CLE credit is received, coordinate with various offices to provide technology support, and act as liaison between host and speakers to accommodate speaker travel and presentation needs.
  • Design program informational brochures and agenda.
  • Communicate all program information to attendees and speakers prior to event date.
  • Maintain Continuing Legal Education licenses with States of Delaware, New Jersey, and the Commonwealth of Pennsylvania.
  • Perform post event administrative tasks to ensure appropriate credits are recorded with MCLE and administer post event surveys to attendees and speakers to improve processes.
  • Perform other job-related duties as assigned or directed.

MINIMUM QUALIFICATIONS (education/training and experience required):

Required:

  • Bachelor’s degree or an equivalent combination of experience and education may be considered.
  • Strong organizational, analytical, and interpersonal skills.
  • Excellent project-management skills, including experience managing timelines and multiple projects.
  • Proficiency with Microsoft Office, including Word, Excel and PowerPoint.
  • Proficiency with using artificial intelligence tools and/or solutions tools to increase productivity.
  • Significant ability to work with teams to accomplish goals.
  • Excellent verbal and written communication skills.
  • Ability to articulate the University’s mission and values.
  • Highly adept at identifying potential issues related to events, recommending options and implementing solutions.
  • Creative and resourceful approach to planning and execution.
  • Experience in crafting and managing a budget.

Preferred:

  • At least 2 years of experience in arranging the logistics of events, including catering, registration, site setup, and media coordination.
  • Experience in higher education, preferably law school events.
  • Experience with both on-site and off-premises event planning.
  • Experience with software to prepare flyers, invitations, and posters.

PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS: 

  • Routinely support events and programming outside normal business hours.
  • Must be able to routinely sit at desk or table and work on computer for long periods of time (2+ hours), have basic manual dexterity, lift less than 25 lbs., and be mobile between workstation and numerous campus buildings.
  • Involves routine standing, walking, and climbing stairs and occasional bending, stooping and/or kneeling.
  • Must have a valid Driver’s License.
